FIXED PHASE-ONE REQUIREMENT · MATT’S INSTRUCTIONPéter fills in a Google Sheet. The generated proposal is the output. We are reviewing the structure and appearance here, not replacing the Sheet with a new input application.
WHAT THIS REVIEW CONTAINSUnderstand first. Restructure lightly.
The source is “Árajánlat Küküllő utca 13.xlsx”, sent during the 14 August meeting. This static reproduction preserves its values, blank totals, unknown prices and merged-cell layout. Row heights are condensed for review. Blue notes explain current behavior. Orange notes are proposals for discussion.

01 / CURRENT STATEHow Péter works today
01. Builds a project-specific work list
Writes descriptions freely and can bundle work rather than itemize every operation. Pricing reflects the particular site.
14 Aug · 204–23002. Sends a useful starting point before everything is known
Customers may still be choosing plants, quantities or the layout. A partially completed quote helps them make those decisions.
14 Aug · 240–24703. Shows unit prices as guidance
For planting he enters a quantity of 1 to communicate a per-plant price, without knowing the final count or selection.
14 Aug · 240–24304. Enters and adjusts prices himself
He calculates case by case. Access, terrain, carrying distance, equipment and commercial choices affect the price. He does not want AI choosing project prices.
14 Aug · 159, 219–23005. Separates labor, materials and transport
Uses these three cost groups and totals them. The quote can contain a bundled work price rather than a detailed bill of materials.
14 Aug · 204–20806. Can use a day-rate arrangement
Describes 180,000 Ft for eight hours plus travel, with an hourly adjustment if duration differs. That hourly rate is not specified, and this workbook does not implement the calculation.
14 Aug · 205–20707. Keeps adding and changing work
New requests and better measurements can change the scope during the job. Extra work is recorded in its own section.
14 Aug · 249–252 / workbook A25:H3208. Settles progressively
Adds the work and materials for each stage, records what the customer pays, and carries the unpaid balance forward.
14 Aug · 208, 253–25909. Reuses one workbook for quote and settlement
Says he collapses the settlement section for sending. The supplied workbook contains both views and currently has no hidden columns.
31 July · 128–130 / workbook10. Wants the customer document to look better
Says the spreadsheet works, but lacks elegance. He responds positively to a presentation layer over the existing data.
14 Aug · 235–239
What we should preserve
- His control over prices and commercial decisions.
- Free-text work descriptions and bundled tasks.
- The ability to quote before every detail is known.
- Unit-price guidance without a false final amount.
- Adding rows, extras and changing quantities.
- Separate labor, materials and transport.
- Staged settlement and actual payment tracking.
- Control over what the customer receives.
- The supplier-prepayment exception in the terms.
- A spreadsheet as the phase-one input interface.

Terms and identity travel with the quote
CURRENT USEThe logo, contact details, work-start conditions and payment terms are one embedded image. Payment generally follows completed and accepted work, with a supplier-prepayment exception for plants, turf and similar materials.
Workbook image SUGGESTED CHANGESeparate project information from reusable terms
Keep the wording and exception. In Google Sheets, put project/address, revision date and reusable terms into a small Project tab. Keep the customer document styling outside the input table.
02A6:C21
A flexible list, often incomplete
CURRENT USEPéter writes project-specific work descriptions and quantities. Items and quantities can change during the job. A quantity of 1 sometimes means a unit-price example, especially planting, rather than one confirmed plant.
14 Aug · transcript lines 240–252 SUGGESTED CHANGEAdd a small status field
Use Included / Unit-price reference / Optional / To clarify. Keep adding rows freely. Do not infer inclusion from quantity = 1 or from a nonempty price.
03D6:H21
Péter controls the prices
CURRENT USELabor, transport and materials are separate. He can bundle several tasks into one price. Site access, carrying distances and commercial judgment affect his pricing. Transport is a separate total, not quantity × rate.
14 Aug · lines 204–230 and workbook SUGGESTED CHANGEKeep manual prices and protect calculated totals
Retain editable descriptions, quantities and rates. Protect formula columns from accidental overwrites. Let status decide which rows count, while still allowing unknown values.
04D8, D10, D12:D15
Six prices are unresolved
CURRENT USEThe source uses ? for work whose labor price is not yet known. That is different from zero, free work, or work already included in the total.
Workbook cells and 14 Aug · lines 240–252 SUGGESTED CHANGEGive unknown a readable meaning
Keep numeric price cells empty and mark the price as To clarify. Output “Egyeztetés alatt”. The quote should still be usable when some items remain unknown.
05D11, D16:D21 · E totals blank
Seven priced rows are outside the total
CURRENT USEThe seven rows have numeric labor unit prices but no E-column totals. Planting rows are unit-price guidance in the call. The intention for earthworks and mulch is not confirmed. Multiplying all seven would add 18,610 Ft incorrectly.
Workbook + 14 Aug · lines 240–243 SUGGESTED CHANGEMake the distinction explicit
Label planting as unit-price reference. Confirm earthworks and mulch with Péter before assigning their status. Only intentionally included rows should affect the total.
06A25:H32
Extra work is expected
CURRENT USEThis section covers new requests, changed scope and work that could not be measured accurately beforehand. It is blank in this example, but belongs to his existing process.
A26 source definition + 14 Aug · lines 208, 249–252 SUGGESTED CHANGEKeep extras, with a short change note
Use the same row structure as the main work list, plus a Base / Extra field and optional change date/note. Show extras separately in the output. A revision label can explain which version was sent.
07D33:H35
The quoted amount is 374,500 Ft
CURRENT USEThe existing formula totals are labor 191,000 Ft, transport 25,000 Ft and materials 158,500 Ft. This covers the populated included totals. It is not a complete price for every listed task.
Workbook · 18 formulas independently checked SUGGESTED CHANGEKeep the three subtotals
Label the output as the total of currently priced, included work. Separate unresolved and reference rows below it. Do not add a VAT claim, expiry date or payment deadline that has not been agreed.
08K1:P37
Settlement happens in stages
CURRENT USEPéter records labor and material amounts at successive stages, then actual payments. The balance is settled/accrued amount minus paid amount. In July he says he collapses settlement when sending the initial quote. This file has no hidden columns.
31 July · lines 128–130 / 14 Aug · 208, 253 SUGGESTED CHANGEUse an Elszámolás tab in the same Google Sheet
Keep stages and payment entries. Make settlement a separate output when needed, not an automatic part of the initial proposal. Confirm where transport is allocated. Extra stages should be possible.
09M5 · 180,000 Ft
An unexplained value outside the sums
CURRENT USEM5 contains 180,000 Ft, but every settlement sum starts at row 6. It does not affect the quote, amount paid or balance. The call mentions the same day rate, but that does not establish this cell’s meaning.
Workbook M5 + 14 Aug · lines 205–207 SUGGESTED CHANGEClarify before mapping it
Do not import this value as a payment or price automatically. If day-rate work is needed, record its agreed meaning separately, including travel inclusion and the still-unknown hourly adjustment.
03 / PROPOSED GOOGLE SHEET STRUCTUREThree tabs. One familiar workflow.
This is a review proposal, not a created template. Move structure around only where it removes ambiguity for the generated document.
| Suggested tab | Contents | What stays familiar |
|---|
| Projekt | Project/address, revision, customer details when known, reusable terms. | A small header area. No duplicate data entry in a separate app. |
| Ajánlat | Existing work columns + explicit item status, Base/Extra, short note. | Manual descriptions, quantities and prices. Protected totals. Unlimited additional rows. |
| Elszámolás | Stage/date, work and material amounts, payments and remaining balance. | Progressive settlement. Initial quote output does not expose internal payment data. |
The first change should be clarity, not more typing.Start with explicit item status and safe formulas. Add extra fields only if they make the customer document or settlement more reliable.
04 / DECISIONS FOR YOUR REVIEWQuestions worth settling before the template
- Are earthworks and mulch reference prices, optional work, or accidentally missing totals?
- What does the 180,000 Ft in M5 mean?
- Where does transport go in staged settlement?
- Which unit prices and internal details should the customer see?
- Should the output include a separate settlement document when needed?
- Which customer fields, VAT wording, validity and payment details are actually required?
Unknowns remain labelled. None of these decisions has been silently resolved in the source reproduction.
05 / OUTPUT DESIGN DIRECTIONSSame source data. Three presentation options.
Each design is a static proposal-output sample. Review the hierarchy, clarity and visual style. Google Sheets remains the input in every option.
